Privacy policy

TunedQuote (“TunedQuote,” “we,” “us”) provides software that HVAC contractors (“contractors,” “our customers”) use to prepare, send, and track equipment-replacement proposals for their own residential customers (“homeowners,” “you,” if you received a proposal). This policy explains what information we collect through the TunedQuote application and website, how it’s used, and the choices available to both contractors and the homeowners they serve.
If you’re a homeowner who received a text or email with a proposal link, the contractor named in that message is our customer and controls the information about you — they decide what to enter into TunedQuote and who to send it to. TunedQuote acts as their service provider for that data. Questions about your specific proposal should go to that contractor; questions about how TunedQuote itself handles data can be sent to us at the contact below.
Information we collect
From contractors: account and contact details (name, email, phone, company), billing information (processed by our payment processor, described below), and any pricing, catalog, or business configuration they set up.
From and about homeowners, entered by the contractor:name, contact details (phone and/or email), service address, and photos of the job site or existing equipment when the contractor uses the photo-scan feature. When a homeowner views and responds to a proposal, we also record their selections, questions, and — if they accept — a typed electronic signature and the IP address and timestamp of that acceptance.
Usage data:proposal links record coarse activity only — that a link was opened or viewed, and a general device type. We do not run advertising trackers, third-party analytics, or fingerprinting scripts on proposal pages.
What we don’t do
We do not sell personal information. We do not use homeowner data for advertising. We do not share contractor or homeowner data with third parties for their own marketing purposes. Information is used only to provide the proposal, billing, and communication features described here.
Text messages (SMS)
A contractor may send a homeowner a text message containing a link to their proposal, and — if the homeowner hasn’t responded — occasional follow-up reminders about that same proposal. TunedQuote never sends a text to a phone number until the contractor confirms, inside the app, that the homeowner agreed to be texted; this is an unchecked-by-default confirmation the contractor gives us, not an automatic default.
Message frequency is low — typically one to three messages for a given proposal. Message and data rates may apply. Reply STOP at any time to opt out of future texts; a STOP reply is processed automatically and that phone number will not be texted again unless the homeowner separately re-consents with the contractor. Reply HELP for help. Consent to receive texts is never a condition of purchasing anything.
We do not share or sell mobile phone numbers or SMS consent status with third parties or affiliates for their own marketing or promotional purposes. A homeowner’s number is used only to deliver the messages described above, through our messaging provider (Twilio).
Service providers
We use a small number of vetted providers to operate TunedQuote, each acting under contract as a processor of the data needed to perform its function:
- Database and application hosting (Neon, Railway)
- File storage for photos and signed proposal PDFs (Cloudflare R2)
- Email delivery (Resend)
- SMS delivery (Twilio)
- Payment processing for contractor subscriptions (Stripe)
- Accounting sync (Intuit QuickBooks) — only for contractors who choose to connect their own QuickBooks account
- Error monitoring, with personal data scrubbed before logging (Sentry)
These providers only receive the data necessary to perform their function for us and are not permitted to use it for their own purposes.
Retention and deletion
A contractor can delete a homeowner’s personal data from Settings at any time. When they do: contact details, job-site photos, and any proposal that was never accepted are permanently deleted. A proposal the homeowner already acceptedis kept as a business and legal record — the acceptance record (signature, signer name, IP address, and the exact accepted pricing) must remain intact to serve as proof of the agreement for both parties. Around that retained record, personal details are scrubbed: the street address is removed from the title, message contents in the delivery history are cleared, and job-site photos are deleted. The homeowner’s contact record itself is anonymized in place.
We retain contractor account data for as long as the account is active, and for a reasonable period after cancellation to allow reactivation and to meet our own accounting and legal obligations.
Security
Proposal links and stored files use unguessable, randomly generated identifiers. Traffic to TunedQuote is encrypted in transit (HTTPS). Access to contractor accounts is protected by authentication, and each contractor’s data is isolated from every other contractor’s data. No method of transmission or storage is perfectly secure, but we design the system to minimize what’s exposed and to whom.
Your choices and rights
Homeowners can ask the contractor who sent their proposal to correct or delete their information, or to stop being contacted (in addition to replying STOP to opt out of texts specifically). Contractors manage their own account data directly in Settings and can request an export or full deletion of their account data by contacting us.
Children’s privacy
TunedQuote is intended for use by businesses and adult consumers evaluating home services. It is not directed to, and we do not knowingly collect information from, children under 13.
Changes to this policy
If we make material changes to this policy, we’ll update the effective date above and, where appropriate, notify contractor accounts directly.
